Every library staff account must have a staff permission group assigned as their Main (Profile) Permission Group in order to access the staff client. Staff can also have secondary permission groups assigned to give them access to special features.

Library directors should consider what functions each staff member needs access to and assign the appropriate permission group.

Main Staff Permission Groups

This is a general outline of the available staff permission groups and the permissions included. Some permission groups are specific to a particular library type.

General Staff

  • Register and edit patrons
  • Check out items
  • Renew items
  • Create and check out pre-cats
  • Set items to claims returned and lost
  • Create and pay bills
  • Create notes on patron accounts
  • Bar patrons
  • In-house items
  • Access and use the holds pull list
  • Place and cancel holds
  • Check items in
  • Work with user buckets

Circulation Overrides:

  • Check out an item that is in a non-circulatable status
  • Change the due date on an item
  • Place multiple holds on the same title for a patron
  • Place a hold on an item under age hold protection. The hold will not be filled until the item is no longer protected.

Circulator

Circulation Overrides:

  • Renew an item needed to fill a hold
  • Renew an item that has no renewals remaining
  • Force check out for items with the status of Missing or Lost
  • Check out items to patrons exceeding the allowed check out count
  • Check out items to patrons exceeding the allowed fine amount
  • Check out items to patrons exceeding the allowed overdue item count
  • Check out items to patrons exceeding the allowed lost item count
  • Place holds on items that are not holdable. The hold will not be filled until the item becomes holdable.
  • Place holds above the maximum number of holds
  • Check in In Transit item with blocks

Cataloguer

Circ + Copy Edit

Circulation Overrides:

  • Check out or in items with the status of claims returned
  • Check out a non-circulating item
  • Override item on hold shelf failure ITEM_ON_HOLDS_SHELF.override???

Cataloguing Overrides:

  • Update the item status for lost and missing items

Circ + Full Cat

Cataloguing Overrides:

  • Delete items in problematic statuses

Local System Administrator

Circulation Overrides:

  • Override a required deposit at check out
  • Mark items as claimed returned when the patron has exceeded the maximum
  • Renew an item needed for a hold. What is the difference between COPY_NEEDED_FOR_HOLD.override (granted to Circulator) and RENEW_HOLD_OVERRIDE (granted to LSA)

Secondary Staff Permission Groups

Acquisitions Supplementary Perm Groups

These secondary permission groups give staff access to functions in the acquisitions module. More information on these groups can be found in the Acquisitions Permission Groups section of Sitka’s Evergreen Acquisitions Documentation.

Carousel Secondary Perms

This secondary permission group gives staff access to the carousel feature in Evergreen that is used by LibPress libraries.

Library staff must send a request to Co-op Support if they need to have this permission group added to their account.

Cover Image Upload Secondary Perms

This secondary permission group gives staff access to the cover image uploader found Evergreen’s staff catalogue.

Library staff must send a request to Co-op Support if they need to have this permission group added to their account.

Reporter Full Permission

This secondary permission group gives staff access to the reporter in Evergreen to run and view reports.

In accordance with Sitka’s privacy policy and owing to the nature of Sitka’s shared Evergreen database any staff needing access to the reporter must sign and submit the Full Reporter Privacy Waiver. Once the waiver is completed, if the staff account meets the required criteria, Co-op Support will grant reporter permissions to the account.

Reporter View Output Permissions

This secondary permission group gives staff access view report output that is shared with them via email or a link.

In accordance with Sitka’s privacy policy and owing to the nature of Sitka’s shared Evergreen database any staff needing access to the reporter must sign and submit the All Staff Reporter Privacy Waiver. Once the waiver is completed, if the staff account meets the required criteria, Co-op Support will grant reporter permissions to the account.

K12 School Permission Groups

Staff permission groups for K12 school staff are significantly different from other library types.

Note

Only users with reporting permissions can access the Reports interface or view report output. To request reporting permissions staff must sign and submit a Reporter Privacy Waiver.
