How do I record series information

490 Field
8xx Fields

Note

It is possible that the series statement as it appears on the item might be different than the authorized or uniform series statement that appears in the 8xx fields. It is ok if the 490 and 800/830 series statements do not match.

490 Field

  • Transcribe the series statement exactly as it appears on the item. Use sentence-case capitalization. Do not end field with a period unless the last word is abbreviated.

  • The first indicator defines series tracing.

    • 0 - if the statement is not traced/indexed and does not have an 8xx field for a series access point.
    • 1 - if the series is traced/ indexed and will need an 8xx field, even if it duplicates the 490.
  • The second indicator is undefined

  • The most common subfields used are:

    • $a uniform title
    • $v volume/ number in series
  • This field is repeatable. If a title belongs to multiple series, enter these statements into two separate 490 fields.

8xx Fields

  • 800 Field
  • 830 Field
  • 800/ 830 fields must be accompanied by a 490 field in the bib record
  • Both fields are repeatable and it is possible to have a record with both 830 and 800 fields, especially if there are multiple 490s in the record
  • The 800/ 830 fields represent the uniform or authorized form of the series statement and serve as linked access points within the catalogue.
  • To find the authorized version of a series title, try searching the Library of Congress Authorities:
  • If the authorized series statement begins with the author’s name, it is entered into the 800 field. If the authorized statement is title only, it is entered into an 830 field.

800 Field

  • Records the authorized version of the author’s name before the title of the series, including any identifying dates or titles.
  • Non-filing characters are not included in the $t title of the series.
  • This field ends in a period, unless there is a different mark of punctuation at the end of the field.

  • First indicator:

    • 0 - if forename/ first name is entered first
    • 1 - if surname/ last name is entered first
  • Second indicator is undefined

  • Although there are many possible subfields for this field, the most commonly used are

    • $a personal name
    • $d dates associated with name
    • $t title of the work (series title)
    • $v volume/ number in series
  • If the series is translated from a different language, the $t series title may appear in the original language. In this case you would also add a $l with the language of the item that you are cataloguing

830 Field

  • The authorized form of the series title.
  • This field ends in a period, unless there is a different mark of punctuation at the end of the field.
  • First indicator: undefined
  • Second indicator: number of non-filing characters (0-9)

  • The most common subfields used:

    • $a uniform title
    • $v volume/ number in series
